From Spreadsheets to System of Record: Automating Invoicing with BillingPlatform

Alt text: Two business professionals talking at a table in a bright office

SUMMARY

Ravus, a platform-neutral quote-to-cash consultancy, implemented BillingPlatform for a fintech lending-technology company that originates and services loans on behalf of a network of banks and credit unions. The engagement replaced manual, spreadsheet-driven lender invoicing with a single auditable system covering lender contracts, network and custom pricing, usage-based fee calculation, invoice approval, and automated delivery of billing data to the client's ERP, data warehouse, and lender portal.

CLIENT BACKGROUND

The client is a lending-technology company that lets community banks and credit unions offer student, refinance, and home improvement loans to their members under the institution's own brand. The client originates and services those loans for its lender partners and earns fees across the life of each loan.

Each lender operates under its own multi-year agreement. Some participate in standard network programs; others carry negotiated pricing, rate changes, and contractual minimums, making every monthly invoice a function of contract terms, program, loan balances, and fee timing.

PROJECT OVERVIEW

Ravus designed BillingPlatform to be the system of record,  consolidating contracts, pricing, usage, invoicing, and reporting into one platform and connecting it to the client's existing finance and data systems.

The project modernized a lender invoicing process previously reliant on legacy code, spreadsheets, and manual uploads introducing automated usage ingestion and outbound feeds to the ERP and lender portal. and Ravus migrated existing lender, contract, and pricing data into the new platform for a frictionless transition.

The Challenge

A Lender Billing Model Too Complex for Manual Processes

As the lender network grew, producing accurate monthly invoices by hand became unsustainable and harder to audit. Every fee had to be traced back to the right agreement and rate, then reconciled against the general ledger and the granular detail lenders visible in the lender portal. The goal was a billing system that could calculate every fee automatically, prove how each one was derived, and scale with the lender network.

Several challenges needed to be addressed:

  • A complex fee structure: A single invoice could combine origination, servicing, insurance, third-party pass-through, annual network, and minimum-commitment fees, each with its own calculation rules.
  • Network and custom pricing side by side: Standard program rates and individually negotiated lender rates both had to apply correctly, including when rates changed during a contract.
  • Tiered insurance pricing: Insurance premiums varied by contractor, tier, and borrower credit band.
  • Shared third-party costs: Pass-through charges had to be allocated across multiple participating lenders.
The Solution

BillingPlatform for Usage-Based Lender Billing

Ravus implemented BillingPlatform as the lender billing system of record, with surrounding integrations configured to support usage ingestion, finance, and reporting.

The solution focused on six core areas:

  • Lender-keyed account model: Ravus structured every lender as a BillingPlatform account keyed to the same lender identifier used across the client's systems, so billing data reconciles with source systems without translation.
  • Pricing model: Ravus extended BillingPlatform's data model with custom pricing entities that hold both network and lender-specific rates, including tiered insurance pricing. Pricing used on an invoice is locked; changes require a new dated record, so every charge is traceable to the rate that produced it.
  • Product catalog: Ravus configured the full range of origination, servicing, insurance, pass-through, subscription, and minimum-commitment products, each mapped to its calculation logic and general ledger account.
  • Automated usage ingestion: Streamlines the transfer of load and fee data into BillingPlatform. Ravus build alerts to flag duplicate or incomplete records, , so issues are caught before invoicing.
  • Invoicing and approvals: Monthly invoices consolidate each lender's charges, with an approval step that keeps unapproved charges out of downstream systems and a fee calculation report that shows how every charge was derived.
  • Finance and lender data delivery: Approved invoice detail feeds the ERP with GL mapping, and a single detail file serves both the data warehouse and the lender portal, so lenders see the same numbers as internal finance.
Results & Impacts

One Auditable System of Record for Lender Billing

The Ravus configured solution established a single, auditable source of truth for billing, replacing error prone manual calculations and disconnected files with a scalable solution architected for  lender network complexity.

Key outcomes included:

  • A single system of record for lender billing: Contracts, pricing, usage, and invoices now live in one platform.
  • Full fee traceability: Every invoice line links to the exact pricing record that produced it, simplifying audits and lender inquiries.
  • Support for every fee type: Network and custom pricing, tiered insurance, shared pass-through costs, annual fees, and contractual minimums are calculated automatically.
  • Reduced manual effort: Usage arrives automatically rather than through hand-assembled files and uploads.
  • Earlier exception detection: Missing pricing and duplicate data are caught before invoices are approved.
  • Consistent numbers everywhere: The ERP, data warehouse, and lender portal all draw from the same approved billing data.
